Who we are

Rotunda Trust Limited is a company limited by guarantee registered in England and Wales, company number 17115816. We are applying for registration with the Charity Commission. Our contact address for data protection purposes is hello@rotundatrust.org.uk.

What information we collect

This website does not use first-party cookies, tracking scripts, or analytics software. We do not collect any personal data through the site automatically.

If you contact us by email, we will hold your name and email address for the purpose of responding to your enquiry. We do not add correspondents to any mailing list without their consent, and we do not share contact details with third parties except the service providers described below.

Mailing list

The trust plans to operate a mailing list. If you sign up, we will hold the name and email address you provide for the purpose of sending you occasional updates about the trust, the conservation of the Rotunda, and events. We rely on your consent to do this. We will not send you updates unless you have asked to receive them.

Every message will include a link to unsubscribe. You can withdraw your consent at any time, either by using that link or by writing to the address above. Withdrawing consent does not affect anything we have already sent you.

The mailing list will be managed using Mailchimp, a third-party email service operated by Intuit Inc. The name and email address you provide will be stored on Mailchimp's systems for this purpose. Mailchimp acts on our instructions and does not use your details for its own purposes. Mailchimp's servers are in the United States. That transfer of your data outside the United Kingdom is protected by the UK extension to the EU-US Data Privacy Framework, under which Intuit is certified. Mailchimp's privacy policy is at intuit.com/privacy/statement.

Donations

The trust plans to accept donations, including through online fundraising. If you make a donation, we will hold the information you provide, which may include your name, email address, postal address, and the amount and date of your donation. We use this to process the donation, to thank you, and to keep the accounting records that charity law and HM Revenue and Customs require.

If you make a Gift Aid declaration, we will hold the details of that declaration and reclaim the associated tax from HM Revenue and Customs. We are required to keep Gift Aid records for as long as the law requires, which is longer than we would otherwise keep your details. Donation and Gift Aid records are retained for that period and are not used for any other purpose.

Donations will be collected through JustGiving, a third-party donation platform. When you donate through JustGiving, the platform processes your name, contact details, payment, and any Gift Aid declaration on our behalf, and passes the Gift Aid information to HM Revenue and Customs. JustGiving stores this data on its own systems within the United Kingdom and the European Economic Area. JustGiving's privacy policy is at justgiving.com/info/privacy. We do not sell or share your donation details with any other third party.

Where a campaign offers to match donations up to a stated ceiling, matched amounts are handled in the same way as your donation and do not involve any additional processing of your data.

Third-party services

This site loads typefaces from Google Fonts. When you visit a page, your browser makes a request to Google's servers to retrieve the font files. Google's privacy policy applies to that request.

The home page contains an embedded video hosted by Vimeo. The video does not load until you click the poster image. Once you do, your browser communicates with Vimeo's servers and Vimeo may set third-party cookies on your device for playback functionality. Vimeo's privacy policy applies to that interaction. If you do not click to play the video, no Vimeo cookies are set.

This website is hosted by Krystal, a UK-based web host, which also provides the authoritative DNS for the domain.

No other third-party services are used.

Legal basis

Where we hold personal data from correspondence, our legal basis is legitimate interest: responding to enquiries about the trust and the building. You may ask us to delete your data at any time by writing to the address above.

Where we hold personal data to send you mailing-list updates, our legal basis is your consent. You may withdraw that consent at any time, as described above.

Where we hold personal data to process a donation, our legal basis is the performance of that donation and, for the associated records, our legal obligations under charity and tax law. Where we hold Gift Aid declarations, our legal basis is our legal obligation to HM Revenue and Customs. Where we thank donors and keep proper accounts, our legal basis is legitimate interest.

Your rights

Under the UK General Data Protection Regulation and the Data Protection Act 2018, you have the right to access, correct, or delete any personal data we hold about you. You also have the right to lodge a complaint with the Information Commissioner's Office at ico.org.uk.
